Introduction
A special event is a one-time or infrequently occurring event outside normal programs or activities
of the sponsoring or organizing body. To the customer or guest, a special event is an opportunity
for leisure, social or cultural experience outside the normal range of choices or beyond everyday
experience.
The best way to learn about organizing events, is by organizing one yourself. To get a better and
more detailed understanding of all aspects of organizing and promoting an event, each Individual
is going to write her own event plan. To be a successful event planner, you need to have: good
evaluating skills, good resource management, good communication and interpersonal skills, good
time management skills, good problem-solving skills, good planning skills, good negotiating skills
and good monitoring skills
Deliverables
DUE DATE: MARCH 9. 2024 you are expected to present an event plan which is good enough
to convince sponsors to get involved in your event and to convince the local council to give you a
license. This means that you have to make sure that you do not forget any aspect of the event.
Excellent pre-production means that you limit the number of surprises during the production
(implementation) phase.
You have to deliver an event plan: written brief report (3-4 pages), for this assignment:
Event plan
You are going to choose your own profile in organizing an event. Come up with a name,
atmosphere, everything. It is up to you to choose what kind of event you want to organize. The
only thing that is set is that it has to be a social/academic event in some way. Be creative and create
something that your target community loves, something that is viable and/or Practical!
Use literature to create a complete list of topics that you have to research. Please refer to your
sources in APA style. The report is supposed to contain at least the following:
1) introduction
2) the concept, event location, target audience, etc. (see Chapter 7)
3) desired impact (Vison & mission) of the event. (see Chapter 5)
4) Chosen main strategy of the event:
Events Management Strategy
The major drivers of this strategy are the commercial, cultural, social and environmental benefits
of community events. A clear vision is needed to provide direction to activity in the future, hence
the development of an Events Management Strategy. In developing this Strategy your objectives
are all or some of the following (read and choose minimum of two:
Gain a sound understanding of existing events and venues;
Achieve clarity regarding the role and responsibilities of event management company to support
and host events
Develop a sustainable, outcome focused events programme which maximizes the potential of
your involvement in events;
Incorporate the cultural, lifestyle and environmental factors unique to the destination into the
events programme;
Pursue campaign which support events and which contribute to overall destination marketing;
5) full budget (come up with realistic estimates)
6) short HR and marketing plan (see chapter 6)
7) sponsorship policy / what you have to offer (If applicable).
8) SWOT: se the information of the overall Internal and External Assessments of the event
to create a SWOT analysis that depicts the event’s Opportunities, Threats, Strengths and
Weaknesses.
9) Timeline table: pre-production and production planning, event logistics (Gantt chart).
10) legal issues, safety and health. Additionally, Sustainability (is this important to you or
not?).

The information sources you will need for this assignment are (books, journals, your textbook and
Official Document) of Saudi Vision2030. (Vision2030 website, in some cases, will provide
information about your analytical review of the program/strategies in which the paper is going to
be written and will therefore be useful in your analysis.)

All reports to be presented in a typed format on plain A4 paper. Line spacing: 1.5 inches,
Margins: 1 inch on all sides, Font: Times New Roman, Font size: 12 for text and 14 for
headings.
Length of the assignment: 3-4 pages.
The ideas structure and content should be based on what you have learnt from the course,
using citations and academic references as needed – Minimum of 2 Academic References.
Submission
1- A Soft copy of the report need to be uploaded to the link available in (the blackboard)
• Deadline: Last day for Submission is Saturday, March 9, 11:30 PM at the latest.
• Late submission will lead to the deduction of (- 2) marks per day.
