1. General steps to creating a poster in PowerPoint

Gather your contents in the form of text, graphs and photos.

Open PowerPoint choose Blank Presentation and click OK.

Choose the Blank slide layout and click OK.

Go to File in the toolbar and click Page Setup /Design and Slide size.

Enter the Height and Width of your poster.

Click Insert on the toolbar, choose Text Box. A text box drawing tool will appear on your PowerPoint
slide. Click and drag to create the box. This is where you will place your prepared text. Simply cut
and paste from Word or type directly into the text box. The box will expand to fit the information
entered. Remember to consider your font size and make it suitable for poster use.

To add logos, charts or photos, go to Insert in the menu bar and select Picture, and then From
File and browse to your file containing your charts or scanned and saved pictures. Select it and
click the Insert button.

Once you have inserted your pictures, you can move or resize them to suit your needs. The dotted
guidelines on the templates are there to tell you where on the sheet your boxes are and can help
in getting things properly aligned. If you click and hold them, a box will appear giving the lines’
locations on the sheet. You can then move them into position. They will not appear when the poster
is printed. If the guidelines are not visible on your s c r e e n , select View, then Guides.

Once your text and pictures are in place, you may decide to add some colour or texture effects. The
colour options and background effects are found under Format on the t oo l b a r, or you may
double click the border of any text box to view Format Text Box with colo ur and line options.

2. Poster size and formatting guidelines
Before you add any content to your slide, first adjust your slide to the dimensions for your poster. This
ensures that the final product (the printed poster) will look exactly as you designed it and not distorted
or blurry.
1. Open up PowerPoint and choose a ‘blank’ slide.
2. On the navigation bar, bring the “Design” ribbon to the forward.
3. Choose “Slide Size” and select “Custom Slide Size”

4. In the Slide Size dialogue window, enter in the size of the poster. 48″ (121.92cm)
wide and 36″ (91.44cm) high
5. Now you can begin the design process and add content to your poster.
How to prevent your text boxes from autosizing
When you draw your text boxes on your slide, putting text in those text boxes can change the shape of
the textbox.
To prevent the text box from changing shape, lock the text box. Right mouse click on your text box,
choose “format shape”, select “size & properties”, open “text box” section and s e l e c t “Do not Autofit”.

3. PowerPoint tips
Creating a poster in PowerPoint is a multistep process. These tips will help you produce a high-quality
poster for this assignment.
As top tips:
• Write in short sentences
• Avoid italics or decorative fonts/styles of lettering
• Colour can be used to highlight text (but see the next point…)
• Careful use of two (at the most three) complementary colours and shades is easier on the eye –
don’t overdo the colours!
3.1 Slide setup
Your poster must be created on a single slide (ONE). The page size must be your desired print
size. You must complete this step before creating the poster. Designing the slide before
desi gn ati ng the print size will lead to a low-quality print (note: although you are NOT
required t o print your poster for the submission, this is generally a good practice to follow).
To prevent cropping when printing, be sure you have a 1-inch margin around the edges of
the poster.
To set the slide dimensions, follow the steps outlined in the Change the Size of Your Slides page
(PowerPoint 2016).
3.2 Poster template
Microsoft Office provides some poster templates you may get inspiration from.
3.3 Layout
The most important aspect of any good poster is that it is easy to follow. A series of columns
allows readers who may be unfamiliar with your subject matter to easily follow the direction of
your information. Newspapers have used this format for decades as studies have shown it is by
far the easiest way to make the information readable.

3.4 Slide design tips
Your poster should read from top left to bottom right like you are reading a page. It is important to
maintain a good contrast between the background colour and the text. Consider using a light colour
background and a dark text. A gradient colour fill background, especially black, will print poorly; it will
have thin, visible lines that you will not see on your computer monitor.
Remember the colours you see on your computer monitor will not reproduce exactly the same on a
printed poster, as monitor colour settings vary. You can expect a colour shift of 2 to 3 shades.
3.5 Graphics
Images copied from the web are low resolution (72 dpi) and are not proper quality for a printed poster.
Limit image resolution to 150 dpi to ensure printability.
All pictures (e.g. tif or gif for transparency, jpg for non-transparent images) should be inserted directly
into the PowerPoint, not linked from another program. Jpeg is the preferred image format if you do not
need a transparent background. If you have graphs or charts from Excel, simply copy and paste into
PowerPoint.
Do not enlarge images after they have been inserted into PowerPoint. To adjust an image and retain
proper proportion, hold the shift key on your keyboard, click, and drag the corners to scale
3.6 Text
The title should be approximately the entire width of the poster with the main text broken into multiple
columns, usually three or four depending on the size of the poster. You may also want to use section
headings within the columns.
Sans-serif fonts work best for posters, particularly for titles, subtitles, and headers. The most common
fonts are Times New Roman and Arial. Other fonts include Arial Black, Franklin Gothic Heavy, Tahoma,
Trebuchet, Verdana, Garamond, Book Antiqua, or Bookman Old Style, just to name a few.
You may need to adjust the font size depending on the font and the amount of text on your poster. For
readability do not use a font smaller than 18 points.
For consistency, make all the headers the same size, and use the same font size throughout the poster for
all body text. If your text is in a different file (e.g. in a Word document), be sure it pastes into a text box in
PowerPoint so it can be edited.
3.7 Font sizes by section
Title: 72-120 pt.
Subtitle: 48-80 pt.
Section headers: 36-72 pt.
Body Text: 24-48 pt.
