Assessment task 1: Business writing portfolio
1. When is this task due?
This task is due by 4pm (Brisbane time) on
Thursday, 28 March 2024.

Read the Grading Rubric carefully, and
make sure you understand what is
required.

Late submissions will receive a 10%
penalty per day.

IT problems are NOT an acceptable
reason for submitting work late.

You MAY use generative AI technologies
when creating each document.

To avoid late penalties, don’t wait until
the last minute to submit your work.

However, you MUST

5. Can I use ChatGPT or other AI?
Your work will not be graded if it is more
than 7 days late.
2. What should I do if I need an extension?

If you can’t submit your work on time
because you are sick (or have another
acceptable reason), you may request an
“extension.” Extensions give you a new
due date, so you can submit work late
without getting a late penalty.

If you need an extension, you MUST
apply online BEFORE the due date.

All decisions about assignment
extensions are made by the UQ Business
School Examinations team. UQ Course
staff CANNOT grant extensions.

This task is worth 40% of your final grade.

All-staff Email = 12%

Formal Business Letter = 13%

Media release = 15%
4. How will this task be graded?

The Grading Rubrics for each part of this
assessment task are included at the end
of this document.
include a full transcript of all of your
interactions with AI (for every part of
the assignment)
o
reference and critically evaluate the
AI contribution.

Failure to include a full transcript of all
of your interactions with AI will result
in a grade of zero for the entire
assignment.

Failure to reference AI use may
constitute student misconduct under
UQ’s Student Code of Conduct.
6. What do I have to do?
Imagine you are the Communications Director
for a (fictional) casual dining restaurant chain
called Charr’d. Your job is to communicate on
behalf of the Executive Director of Charr’d, in
response to three separate situations. (see
#9-11 below)
Do NOT ask the Course Coordinator
or your tutor for an extension.
3. How much does this task contribute to my
final grade?
o

Do NOT change the assignment. Papers
that don’t address the situations in these
instructions will not be graded.
Submit the following three (3) documents,
including an explanation of your writing
choices for each document:

All-staff Email (see “10. All-staff Email”
below)

Formal Business Letter (see “11. Letter”
below)

Media release (see 12. Media release”
below)

Media release – your media release + a
critical reflection on your writing
choices
Follow these instructions to upload your

in Microsoft Word – this is the default for
new documents)

Use clear spacing between paragraphs.

Start a new page for each document
(using a page break is ideal)

Your email, letter and media release
should each be approximately 1 page.

Each explanation of your writing choices
should be maximum 1 page. [see “13.
Critical Reflection” below]

The Reference List should use APA 7th
style.

The Appendix containing the full

9. Where can I find answers to my questions
about this task?

Participating actively in every tutorial is the
best way to prepare for assessment tasks in
this course.

Ask your tutor questions during class.

Search the Ed Discussion Board for answers
to Frequently Asked Questions (FAQs).

If your question hasn’t already been
answered, post it to the Ed Discussion Board.
Use a clear subject line to help your
classmates find answers to their own
questions.

Do NOT email general assignment-related
questions. Use the Ed Discussion Board,
so that other students can see the answer.

10. All staff email – approximately one page
(150–200 words)
11. Letter – approximately one page (200–250
words)
Write an email to all Charr’d staff (copy in the
CEO separately), reminding them about how to
manage workplace safety risks and hazards. You
can find information about workplace safety risks
and hazards in the food retail industry in this
report: Managing Health and Safety in Food
Retail.
On behalf of your CEO, write a formal complaint
letter to the CEO of one of your supplier
companies, “Letus.”
Because this email is going to everyone in the
company (CEO, middle managers, and frontline
workers), you should provide enough detail to
help staff who are working in a variety of
situations (e.g., offices and restaurants).
Letus supplies fresh leafy green vegetables (e.g.,
lettuce, spinach) to Charr’d, which are used on a
wide range of burgers. However, the quality of
their products has declined in recent months while
costs have gone up. You can find information
about managing relationships with suppliers here.
NOTES:

NOTES:

Follow the business email format outlined in
Shirley Taylor’s 2012 Model Business Letters,
Emails and other Business Documents.

Use these email addresses:
o
for all staff: [email protected]
o
for the CEO: [email protected]
Follow the business letter format outlined in
Shirley Taylor’s 2012 Model Business Letters,
Emails and other Business Documents.
o
Summarize the background to your
company’s complaint.
o
Politely propose a fair and mutually
agreeable solution.
o
Maintain a positive relationship
between Charr’d and Letus.

You may invent any other necessary
information.

Use the assignment due date as the date of
your letter.

Do NOT copy wording directly from the
Assignment Instructions or any other
source. Acknowledge ALL of your information
sources in a single “Reference List” at the end
of your submission.

12. Media release – approximately one page
(300–350 words)
13. Critical Reflection – approximately one
page for each reflection (300–350 words)
Charr’d is collaborating with 2023 Australian of the
Year, Taryn Brumfitt, to release a new line of
healthy “Brumfitt Burgers.”
To become an effective communicator, you need
to think critically about your own writing and
understand how your audience is likely to react to
it. Small details – such as the order in which you
present information and which verbs you choose –
can make a lot of difference.
You need to prepare a “new product” media
release that could be published (without
alteration) on both the Charr’d website and by a
lifestyle magazine.
NOTES:

Follow the Media Release format taught in
Week 4.

Your media release should NOT sound like
an advertisement.

Include at least one quotation from the
Charr’d CEO, expressing excitement about
the partnership with Ms Brumfitt AND/OR
describing the new product line.

Include at least one quotation from Ms
Brumfitt, explaining why she is happy to be
part of this collaboration.

You may invent any other necessary
information.

Do NOT copy wording directly from the
Assignment Instructions or any other
source. Acknowledge ALL of your information
sources in a single “Reference List” at the end
of your submission.
This part of the assessment task asks you to think
critically about the letter, email and media release
you have written and to explain the writing choices
you made when preparing them.
NOTES:

Name and briefly describe the genre you are
explaining, including its basic structure and
characteristic linguistic features.

Refer to specific words, phrases and
sentences within your own documents, to
illustrate where/how your work follows the
expected structure and uses the expected
linguistic features of this genre.

Do NOT focus on the subject matter of your
letter, email or media release. Instead, focus
on how you structured these documents and
your writing techniques / decisions.

Do NOT use bullet points. Use what you
have learned about sentence structure and
clear writing (Week 3) to write in complete
sentences and paragraphs.

Use the first-person pronoun (“I”) with active
verbs, e.g.,
— I began my email with … because…
— I wanted my audience to … So, I
chose the words ….
— I used the online Merriam-Webster
dictionary to check the spelling of …
The advantages of this tool are…
The disadvantages are …
— I altered the media release generated
by ChatGPT by … because …
OPTIONAL:

You may use some of the following reflection
questions to help formulate your explanation.
MGTS7610 Business Writing Portfolio Assignment Guide
4
— What “moves” are made in this
document? In which order? Why?
— How did I want my audience to
respond to this document? Which
elements of my writing are designed
prompt that response? How effective
do I think this document would be if it
were used in “real life”? Why?
— What kind of tone does this document
have? Which specific words / phrases
did I use to achieve that tone? Why?
— What kind of persuasive language did
I use in this document? Where? Why
did I choose those specific words /
phrases?
— What clear writing strategies did I use
in this paper? How effective are they?
How might I improve the clarity of my
writing?

Decide on the most appropriate order for
presenting the information in your Critical
Reflection.

Do NOT copy wording directly from the
Assignment Instructions or any other
source. Acknowledge ALL of your
information sources in a single “Reference
List” at the end of your submission.
