Overview
Suppose your group works as a virtual team in a Saudi company that deals with local and global
clients. The company mainly aims to provide digital marketing services and solutions in one
field (e.g., cars, real estate, perfumes, fashion, flowers, healthy food, medicines, etc.). A task has
been given to you by the CEO. The task includes connecting with a Chinese brand that wants to
open an office in Jeddah, Saudi Arabia. The task is considered completed when the team
proposes a strategy to the Chinese company representative and receives their feedback.
Requirements
The group needs to be divided as follows: one team manager, one representative from the
Chinese brand, one technical support expert, and one or two general members.
Write a reflection on your group work process in creating the team, choosing the tools, working
on the tasks, and reporting the strategy to the client.

To aid the Chinese perfume manufacturer Luxe Perfumery in its endeavors to invest and set
up shop in Saudi Arabia, particularly in the city of Jeddah, a virtual digital marketing team has
been assembled. The group is known as “Kingdom.”
Meet the team:
Sarah Al-Dosari – Team Manager
Personal Goal: Sarah’s first priority is to make sure the team works together effectively, so she
plans each day’s activities meticulously, coaches team members, and finds solutions to problems
as they arise.
Nouf Al-Enezi – Chinese brand representative
Personal Objective: When it comes to arranging the commercial dealings between our organization
and Luxe Perfumery, Nouf is indispensable. She is dedicated to giving our team members in-depth
knowledge of our brand. This data is crucial for the growth of Luxe Perfumery in Jeddah by
informing strategic advertising decisions.
Asmaa Al-Qahtani – Technical support expert
Personal Goal: Asma’s mission is to train her whole staff to perform effectively and efficiently

Team building journey:
We’ve completed all four of Bruce Tuckman’s phases of team development:
Formation Phase: During this first stage, we concentrated on bonding as a team and getting to
know one another.
Storming Phase: Extensive meetings were held throughout the storming phase to formulate ideas,
establish our work methods, settle any conflicts that had arisen, and determine the virtual tools that
would be needed for efficient communication and job completion.
Standardization phase: During this stage, responsibilities were delegated, processes were

Performance phase: At last, we started the performance phase, during which we carried out our

Primary and Supplementary Virtual Tools:
The central virtual tool employed by the “Kingdom” digital marketing team is Zoom.
The most popular software, Zoom, has several tools that make it easier to work together using
video, audio, and documents. It’s where we have most of our meetings and where most of our
communication takes place so that we can track our progress and analyze our results. Zoom’s
cutting-edge tools make remote collaboration much more productive. The group also makes use
of email for delivering attachments as well as notification messages to members, providing
assistance by disseminating reports, business outcomes, or appointment reminders that may then
be discussed via voice and video inside the Zoom environment.
The functionalities of Zoom that have proven advantageous in our work include:

contributed to our decision to use it as our primary virtual tool for running company operations.
Zoom is a great option since it has few limitations and is well-suited for use by startups and other
small organizations. Zoom’s attractiveness is boosted by its chat function and the ease with which
users may exchange photographs, web sites, links, and analyses on the platform’s screen. Security
is a top priority for Zoom, which is why it uses password-protected connections and a “handraising” function so that participants may indicate they want to talk without interrupting others.
While we mostly use Zoom, there are other options available with similar or even more
functionality. Slack, Skype, Clickup, and many more are just a few examples of such options.
We’ve reallocated our 10,000 Saudi riyal budget to cater to different needs as outlined below:
Computer Equipment: We have spent SAR 3,900 on upgrading our IT infrastructure by acquiring
necessary computer gear and equipment.
Connectivity: We have budgeted SAR 1,900 to pay for a stable Internet connection to enable our
remote work.
Audio-Visual Enhancements: We have SAR 1,000 put aside to buy cameras, headphones, and
speakers to improve our AV capabilities.
Miscellaneous Supplies and Expenses: The remaining SAR 3,200 will go toward paying for office
supplies and other operating costs we incur on a regular basis.
The number of times and duration of our meetings :
We have resolved to have meetings at predetermined intervals of every 10 days. Meetings like this
help us keep tabs on how far along we are in our work, discuss any obstacles we’ve run across, and
coordinate our efforts so that we’re all making progress toward our goals. In addition, we can better
adapt our strategy to new possibilities and reduce risks by discussing and planning for them at
these meetings.
The fundamental purpose of these gatherings is to increase participation and communication
within the team. Originally, we planned on spending two hours on each meeting. Since we took
on this task, we have held 24 meetings without a hitch.
How the meeting minutes helped team stay focused ?
We were able to stay on track with our work thanks in large part to the minutes we took of
our meetings. It offered a format for systematically arranging the meeting’s agenda and making
detailed notes that could be referred back to later. The minutes of our meetings included all
pertinent information, such as who was there and who was not, the subjects covered, the choices
made, and the tasks allocated to each member to complete before the next meeting. This approach
not only helped us keep our work on track, but it also encouraged individual responsibility.

3. Virtual work dynamics:
How did you create a virtual office?
The firm has developed a thorough business strategy and purpose statement to back the
opening of a Lux Perfumes office in Jeddah. They did their homework and gave us a detailed
rundown of the Jeddah-investing firm. Five hardworking people were then recruited, and one of
them was designated manager. The manager went over the project’s work plan in detail, assigned
roles and duties to the team members, and established goals and priorities. The team then
established work norms and standards, and settled on a virtual communication strategy and set of
tools with which to achieve the set objectives. In addition, they worked on developing a culture of
virtual work that would allow for more efficient communication.
Technical challenges :
The team building procedure for the kingdom’s initiative was fraught with difficulties. Sarah,
the team manager, struggled to find the right people to work on the team and to divide up tasks
according to their abilities. Asmaa, the technical support specialist, was having trouble determining
the best means of communication and teaching others how to use the tools they would need to do
the job. The Chinese company’s representative had difficulty learning the ins and outs of doing
business in Saudi Arabia, such as mastering the language and adjusting to the customs of the
region. Finally, Preachers Al-Anoud and Raghad struggled to determine the goals of their work,
as well as to develop and implement efficient methods of communicating and working together as
a team. The team’s biggest challenge was getting to know one other and communicating well.
Example of work culture in China:
They use a formal style of communication that includes polite welcomes, dignified titles, and
avoiding direct eye contact with authority persons. Additionally, the interpretation of non-verbal
cues such as emotions, facial expressions, as well as body language is of critical significance. Long
hours in the office, high standards, and a rigid attention to procedures are all commonplace in
Chinese workplaces.
How were vacation and holidays used?
During our trips away, we were able to connect as a team and share our own perspectives
and insights. During these pauses, we were able to get together as a team face to face, where we
could have important conversations and strengthen our bonds. We also used our vacation time on
a client search trip for a Chinese firm that was exploring the Saudi market in anticipation of the
launch of their new brand.
Communication challenges, and the impact of differences in place and time on the
communication process :
Our group ran into a number of snags that stemmed from the difficulty of communicating
across time zones and cultural divides. These resulted from cultural disparities between our group
and the Chinese team, namely with regards to the interpretation of facial expressions, body
language, and other means of communication. Disparities in meeting procedures, work regulations,
and scheduling also created difficulties. However, we must highlight the Chinese brand
representative’s unwavering devotion to our team, which is shown by his or her attention to detail,
dedication to building strong and lasting connections, and focus on improving the efficacy and
efficiency of communication.
How did you overcome those challenges?
We used a methodical strategy to address these difficulties. Our tech support guru was crucial in
eliminating language and equipment barriers. We scheduled meetings around everyone’s schedules
for maximum efficiency. Together, we made an effort to learn about and respect each other’s
communication norms and nonverbal signals, and we developed work plans and techniques that
reflected the unique cultural characteristics of both groups.
4. Reports and presentations:
A strategy that was worked on to make the Chinese company’s marketing campaign
successful
Introduction :
The key goal of this approach is to research the Saudi market thoroughly in order to ascertain the
level of demand for perfume goods and services and to learn about the preferences of the general
population. In addition, it hopes to develop persuasive marketing tactics to spread the word about
the Chinese firm’s wares and win over consumers. It also requires finding powerful and enticing
competing techniques that find favor with the target audience. Because of the complexity and
diversity of the Saudi business climate, this plan incorporates a broad range of marketing channels,
approaches, and new trends to reach consumers interested in a wide variety of goods and services.
Demand size :
Statistics show that overall interest in perfume is on the rise, with different types of perfume and
brands enjoying varying levels of popularity depending on factors like target demographics and
individual taste. Market demand is expected to grow from the current level of around 1,738.5
million in 2020 to over 3,810.5 million in 2030, according to statistical analyses. The yearly market
growth rate is 8.2%.
The most effective strategies in the Kingdom of Saudi Arabia :
Social media platforms, which have been successfully leveraged via the production of interesting
posts, eye-catching posters, and compelling language that emphasizes the value of a product or
service, are among the most effective marketing channels for attracting clients, according to
statistical data. A considerable segment of the population in Saudi Arabia likes to engage lengthy
amounts of their time on social media, with special focus on Instagram and Facebook. Influencers,
social media fans, sponsored commercials, and other kinds of advertising all use these channels
since they are widely acknowledged as being crucial for reaching a target audience.
Conclusion :
The market in the Kingdom of Saudi Arabia is enormous, varied, and bustling with a vast

This trip has given me the important opportunity to engage in other team-based initiatives,
strengthen my collaboration talents, and get insights into diverse social and global cultures. I am
very grateful for this opportunity. In the future, I want to step up the level of cooperation I have
with the other members of my team, building on the ideas and experience they provide while
also contributing some of my own. In addition to this, one of my goals is to improve my research
abilities and make use of more sophisticated techniques while gathering material.
